Tips for LUT thesis supervisors

Publicity of thesis

In principle, a thesis written at a university is public (The Constitution of Finland, §12.2; Publicity Act §1). The publicity of the thesis means that the metadata of the thesis are available and the thesis is accessible either directly or on request. At LUT, theses are published in the LUTPub repository.

If the thesis is not published in LUTPub, it must be submitted to the LUT archive. In addition, the student has to submit the metadata of the thesis in LUTPub where the information of the thesis is publicly available. Instructions for students can be found from the library's LUTPub guide in section 1. Choose collection and start saving.

Things to pay attention to

A few important things to know about saving the thesis in LUTPub

  • Give the student permission to upload the thesis in LUTPub only when the content and layout of the thesis is ready for publication!
  • Students are allowed to make only one submission to LUTPub.
    • Submissions are processed by more than one person in the library. We may not notice if a student makes more than one submission and in this case, the thesis of the same student may be published in LUTPub for the number of times they have made a submission. 
  • Students cannot edit, change or remove a thesis submitted to LUTPub: once the library has published the thesis, it is immediately available for download from the open web.
    • A thesis with an embargo will not be available on open web but it will be sent for reading on request. 
    • Errors found after publishing are corrected with an Errata.
  • The library will process the uploaded theses as soon as possible. Please note that during the library's summer and Christmas holidays there is a longer delay in processing the theses and answering emails! Also, during the graduation rush in May-June and in November-December, processing time may be several days.
  • The file submitted to LUTPub has to meet the accessibility requirements and be in PDF/A format.
    • Accessibility is taken into account in the theses templates available on eLUT.

Here are also some important things to pay attention to concerning the content and form of the thesis:

  • The thesis is made according to guidelines in eLUT (Bachelor's thesis page and Master's thesis page) and according to the degree programme's own instructions.
  • The student has used the LUT thesis template.
    • The template has been in use since 11.8.2021.
    • The latest version of the template (Word and LaTeX) is in eLUT.
    • NOTE! Also the theses in double and triple degree -programmes are made according to LUT guidelines and templates. 
  • The name of the university is correct in the title page and in the abstract (in Finnish: Lappeenrannan-Lahden teknillinen yliopisto LUT or in English: Lappeenranta-Lahti University of Technology LUT).
    • NOTE! In theses made in double and triple degree -programmes, the partner institution(s) may be mentioned on the cover page and in the abstract after LUT.
  • The title of the thesis is same in the title page and in the abstract.
  • All the required abstracts are included.
  • The numbering of paragraphs and pages in the table of contents is consistent and without any breaks or bookmark errors and the page numbering is visible in the thesis.
  • References are indicated - including in figures, diagrams and tables.
  • The references follow the style of the thesis guidelines.
  • The APPENDICES page at the end of the thesis is included only if the thesis contains appendix/appendices.
    • Appendices are titled Appendix 1, Appendix 2, etc. and they are numbered consecutively.
    • The table of contents shows if there are any appendices included.
  • Any confidential material will be left out of the thesis as background material (not publicly available). The file published in LUTPub must not contain any parts that are crossed out, blackened, etc.
  • The thesis and its appendices do not contain any data that are critical for data protection, such as signatures, student numbers or contact details of the student or third party.
